Clery Act & On-Campus Advisors

CampusGroups Accounts
As part of the annual campus organization registration process, authorized signers/officers list their advisors for the given academic year. In order to be listed as an advisor, you will need to activate your CampusGroups account (this needs to be done just once). Review the instructions below for the type of advisor:
On-Campus Advisors (Staff, Faculty, Graduate Student)
Activate your CampusGroups account here: https://admin.campusgroups.uci.edu/createaccount. Once you have created the account, your name will be searchable and the students can add you as an Advisor on the CampusGroups page.
Off-Campus Advisors
For off-campus advisors who do not have a CampusGroups account, please follow the steps below:
- Visit this site: https://campusgroups.uci.edu/club_signup?register=1
- Search for the organization’s name (If you are an advisor of multiple organizations, only search one for the activation set-up).
- “Check” off the box on the left column (next to the organization’s name). Then click “Join” at the bottom of the page.
- You will be prompted to create an account. Complete the form and your account should be activated into the system. (For the “Account Type” field, you may select “Community Partner”)
Once you have created the account, your name will be searchable and the students can add you as an Advisor on the CampusGroups page.
Expectations
The specific expectations of an advisor depending on the expectations of the Registered Campus Organization’s needs and the advisor’s leadership style and level of commitment. The following is a list of possible expectations that can be used as a starting point for a discussion between the advisor and the organization. It is important to clarify the role of the advisor for the organization from the very beginning.
- Utilize the Office of Campus Organizations within Student Life and Leadership as a resource for questions about advisement.
- Schedule regular meetings with organization leadership.
- Assist the organization in the collection of transition materials between leaders such as financial records, signer information, constitution and by-laws, and contact information for alumni.
- Attend meetings (only if requested by the organization).
- Understand and interpret University policies for Registered Campus Organizations (click here).
- Explain University policy to organization leadership.
- Help organization leadership with internal organization logistics such as constitution revisions, agendas, and how to handle particular situations.
- Provide any relevant event updates to assist the organization leaders.
- Guide the organization leaders through difficult decisions.
- Inform the clubs of any infractions of their bylaws, codes, standing rules, and constitution.
- Advise the club to be aware of campus perceptions when planning events or social gatherings (e.g., dance party themes).
- Help mediate interpersonal conflicts that arise.
- Provide guidance in leadership development/skills workshops.
- Accompany the organization leader when dealing with conflicts with University faculty or staff.
- Become familiar with University facilities, services, and procedures, which affect group activities.
- Recommend programs, speakers, etc.
As an advisor, you will have certain expectations of the Registered Campus Organization. Make certain to discuss them with the organization at the beginning of the year. Some expectations may include:
- Written goals and objectives
- Advance notification of meetings and events the organization may want you to attend
- Awareness and adherence to all university policies
- Support in understanding the University’s mission
- Open communication
- Honesty
- Commitment to the organization
